Excel import at a glance
The import loads your products, warehouses, locations and quantities in one go from an Excel template. It is meant for those leaving a spreadsheet (see managing stock in Excel) and for those who reset a stock to the state of a file, for example a training warehouse.
- The template is downloaded from the Imports page. The page never asks "which warehouse?": the warehouse is read from the MAGASIN and LOCALISATION DU MAGASIN columns of the file.
- The preview flags every doubtful cell and announces what will be created (products, warehouses, locations) before anything is written.
- By default, the quantity in the file is added to the existing stock, like a receipt. The "Quantities replace existing stock" box, unticked for every new file, makes that quantity the wanted stock.
- The purchase price import updates product records without creating products or touching stock, and dates each new price in the history.
- Import is reserved for administrators. An inventory export can be re-imported as it is.
One file instead of a thousand entries
Taking over a stock, correcting it or resetting it: the file does the work, you stay in control.
Take over a spreadsheet
Your references, quantities and locations: a single file instead of entering products one by one.
No surprises
The preview shows every line, errors cell by cell and the creations announced. Nothing is written until you confirm.
Back to the starting state
Re-importing the same file in replace mode brings each listed line back to its quantity, up or down: handy for a training warehouse or a corrected inventory.
Up-to-date prices
A two-column file (reference, purchase price) updates your prices in bulk, with the history of each change.
Four steps, no retyping
From a blank template to stock in place.
Download the template
From the Imports page: an Excel workbook with the expected columns and an example.
Fill in the file
One line per product, warehouse and location; the QTE column gives the quantity.
Review the preview
Every line is checked. In replace mode you read "old → new" before confirming.
Confirm
You confirm, GSE-Web writes the products and the stock. Every movement appears in the history.
Add or replace: same file, two results
You choose at every import. The box unticks itself for the next file: no setting is kept in memory.
Box unticked (default): add
The quantity in the file is a stock receipt: importing the same file again doubles the stock.
"Quantities replace existing stock": replace
If stock was at 20, the preview shows "20 → 10" and the decrease is recorded as an adjustment. Anything the file does not mention is never touched; an empty quantity leaves stock as it is. The inventory right is required.
Purchase prices by file
Reference and purchase price: the import creates no product, does not touch stock and dates each price in the product history.
Re-import an export
An inventory export can be re-imported as it is: export, correct in Excel, load again.
Other imports
Third parties, supplier tariffs, students and customs profiles are imported from their own screen.

Frequently asked questions
Can the import overwrite my existing stock?
Yes, if you ask for it: tick "Quantities replace existing stock". Without that box, the quantity in the file is added to the stock, like a receipt.
Do I have to choose the warehouse in the application?
No: the warehouse is read from the MAGASIN and LOCALISATION DU MAGASIN columns of the file. A name that matches no existing warehouse is announced in the preview as a warehouse to create.
Can I fix my file before importing?
Yes: the preview flags every doubtful cell, and a rejected line comes with its reason. Fix the file, analyse it again, then confirm.
Who can import?
The organisation's administrators. Replacing stock also requires the inventory right, because it can lower quantities.
